Payroll |
|
The Payroll module handles all aspects of processing payroll transactions for employees. It interfaces with our Human Resources module so employee records are entered and maintained in only one place. Payroll is designed to automatically allocate employee salary and fica/medicare expenses across multiple programs and cost centers, print matrix or laser checks, perform direct deposits, provide monthly and quarterly tax reports and create W2s (printed and electronic). It handles an unlimited number of deductions and allows you to enter and track overtime, shift differentials, imputed income, supplemental pay and more.

| Employee Maintenance |
Employee demographic information tracks the employee's name, address, phone, salary, default hourly rate, type, pay frequency, wage account(s), social security number, federal and state exemptions, additional fwt, single or multiple direct deposit accounts and more. Changes to any employee's record is written to an audit trail file.
|
| Deductions |
Quantum allows you to define an unlimited number of deduction codes that may include 401k, health insurance, garnishments, AFLAC, retirement plans, child care, cancer insurance, credit union deductions, flex pay, deferred comp, etc. You also control whether the deductions are pre-tax or regular and if they have a maximum amount (life or ytd). Quantum also tracks the frequency of when each deduction is to be applied to employee pay checks.

| Employee Account Inquiry |
Geneva has added a screen to the payroll module that allows users to display an employee's pay history. Enter/Search an employee number and specify any range of dates -- the system will display a listing of each pay check or direct deposit transaction. Users can "drill down" into any single pay record displaying details including gross wages, fed taxable wages, fica, medicare, hours, fte %, deductions, add'l earnings, number exemptions, state withholdings, etc.
You can also display totals (wages, taxes and deductions) for any range of dates as well as leave balances. |
|
| Taxes |
The Payroll Control File has a screen where you can enter/upate the Federal Tax and EIC tables for single and married employees. You can also define state taxables for a single or multiple state, city and municipal locations. Quantum has several reports you can print to help you balance your 941 payments, quarterly reports, other employer taxes and premiums.
|
| Leave Tracking |
Geneva developed a sub-module to Quantum to allow users to track multiple types of leave balances. Users can define any number of leave codes and have them automatically accrued during payroll runs. The Leave Tracking module records the details of each time an employee took time off work and can produce a leave balance figure for any moment in time.
The system prints a supervisors report, leave balances by employee or leave type and can print leave balances on employee payroll checks.

| Checks and Direct Deposits |
Quantum accommodates both matrix and laser payroll check forms. Geneva has modified this program for many clients around the country to fit on their existing check stock. The standard check forms are:
 |
Information printed on the stub includes supplemental earnings, shift differentials, leave balances and deductions. It also prints current and ytd amounts for:
- Gross Wages
- Fica
- Medicare
- Federal Withholding
- State Withholding
- Net Pay
|
|
Employees can be paid through direct deposits, payroll checks or any combination of the two. Quantum supports multiple direct deposit accounts per employee. You could setup an employee to pay 50% of his/her pay deposited to a checking account, 20% to be deposited to a savings account and the remaining 30% to be printed on a pay check.
|
|
| W2 Forms and Electronic Filing |
Quantum prints W2 forms on either matrix or laser printers. You can print W2s anytime after the first of the new calendar year. That is, users do not have to print W2 forms before the first payroll of the new calendar year. Adjustments can also be made to employee W2 records before printing the forms. Such adjustments may include adding term life insurance premiums for policies greater than $50,000 as part of the employee's deferred compensation. Quantum also creates a W2 electronic file that can be sent o the government for processing.
