General Ledger
Quantum's General Ledger module consists of a number of functions that contribute to the tracking, reporting and auditing of financials for the entire organization as well as individual cost centers, programs and departments.

Transactions are interfaced to General Ledger, in detail or summary, from each of the sub-ledgers upon demand. Geneva also provides an interface module that imports transactions from outside systems including ADP Payroll, Ceridian Payroll, Creative Socio-Medics and Uni/Care Clinical Billing Systems, etc. General Ledger is the center of the suite of Quantum modules and is being used by a wide variety of organizations including Mental Health Centers, Community Service Bureaus, Manufacturers, Distributors, General Accounting Firms, Hospitals and more.

Account Numbers
Quantum allows you to define the size and makeup of your G/L account number based on your specific needs. Use up to a maximum of 21 characters defining as many cost centers and programs and departments as you need. This feature is one of the most important reasons why Quantum has been successful in so many different organizations during the past nineteen years.

Cost Centers, Programs and Departments
General Ledger lets you incorporate cost centers, programs, departments and other financial entities into the construct of your G/L account number. You may also include Account characters for county, service type, service provider, employee --- whatever you need. Financial reports and Trial Balances can be printed for any single, or any combination of these "financial entities". Reports can roll up transaction and budget information to high-level cost centers, programs and departments as a function of Quantum's financial reporting.

Budgets
The system accommodates multiple budgets per account per fiscal year. The budgets can be loaded annually or by period -- allowing you to factor seasonality into your budget reporting.



Financial Statements can print, based on your options, budgets for actual period, year-to-date or annual funds. The financial reporting will calculate variances, fund balances and projected spend and revenue rates based on historical performance. Budgets can be retained on file indefinitely.

Budgets can be uploaded and imported to Quantum through the use of a spreadsheet or access table.

Financial Statements
Design your own financial statements where you control the order in which accounts print, the level of detail, headers & footers, subtotals as well as what prints in each column. Users can setup a battery of financial statements to print, upon demand, for all programs/cost centers/departments, any single program/cost center/department or any combination of programs/cost centers/departments. Columns may, at your command, print:

G/L Transactions - Current Period or YTD
Budgets - Current Period or YTD
Variances
Annual Budget / Fund Figure
Fund Balance
Projected Spending Rates
Percent of Annual Budget Consumed


Quantum supports several types of Financial Statements including Balance Sheet, Profit & Loss Statement, Supporting Schedules, Statement of Cash Flow, Changes in Financial Position Statements, Working Capital Statements and more.

Financial Reports can be printed at any time for any range of dates or periods. G/L history can be retained for as long as you wish therefore you can print financials for previous fiscal years.

G/L Account Inquiry
The on-line G/L Account Inquiry program provides users with a quick and easy way to display transactions and balances for any G/L account for any range of dates.

The account inquiry program allows you to scroll back and forth between pages of transactions. The "Total" button displays an accounts beginning balance, debits, credits, net change and ending balance for any range of dates entered.

The G/L audit trail tracks who entered/posted each transaction and from which workstation. Account Inquiry can easily show the status of any account.

G/L Reports
Quantum comes standard with many General Ledger Reports as part of the package system. Such reports include Chart of Account Listings, Cost Center/Program Listings, G/L Detail Reports by Source, Trial Balance - Summary, Trial Balance - Detail, General Ledger Worksheets, Budget Reports, Template Transaction Registers, Distribution Code Lists, Budget Code Lists, Inactive Account Reports, and more.

Users can design their own G/L reports using Crystal or MSAccess. All G/L historical data is accessible to users with the proper security, via Geneva's ODBC driver/cataloges.

Seagate's Crystal Reports is well suited for creating trend analysis reports for specific expense or revenue accounts. Users can supply date ranges at the time the Crystal reports are executed.

Pie Charts can show costs or profits by Program, Cost Center or Department. Other charts and graphs include Bar, Line, Bubble, Radar, XY Scatter, Doughnut, Area and Stock line trends.
